Overview
A client portal gives a hiring manager, or several stakeholders, their own space to track candidates for a role, similar to an ATS, so feedback stops getting lost across email threads.
Who It's For
Larger delivery projects or contract roles with a high volume of candidates, several stakeholders who need to align on feedback and interview diaries, or a client process currently being run messily over email. It also works well as a pitch tool, or as part of an exclusive partnership where you provide the technology alongside your recruitment service.
Before you start, make sure you've already created the candidate sharing profiles you want to use. See the article on creating a candidate sharing profile if you haven't done this yet.
Steps
Create the client — Portals > New Client. Give it a name and add their logo if you have one.
Add managers — Add one or more managers to the client, with their name and email address.
Create positions — Add a New Position under the client. The details field is optional and isn't shown to the hiring manager. Choose which manager(s) should have access to each position.
Assign candidates — From the position (Actions > Assign Candidate), or from the candidate's sharing profile using the Assign to Position option.
Preview the portal — Select View Their Portal from the manager's record to see exactly what they'll see before inviting them.
Invite the manager — Select Send Invite, or generate an invite link. They set a password and can then log in any time, including from a mobile browser.
What the Manager Sees
All positions and candidates they're linked to, organised by opportunity, with clips, CVs and details for each candidate. They can comment, in a space shared with other stakeholders and you, and decide who moves through the interview process. Updates reflect on your side in real time.
Tips
Assigning candidates from their sharing profile is usually the quickest route.
Manager access is set at position level; review this carefully if a client has more than one manager or position.
Always preview before inviting.
Works well for large delivery or contract projects, in pitch meetings, or as part of an offer to run the tech alongside your service.
